Array Finance and Admin Officer / Freelance - Job Description
Array Studios & Collective is looking for a new administrator assistant (freelance), whose work will help sustain Array’s artistic practice and ambitions during an exciting stage of growth for our organisation.
JOB DESCRIPTION
FREELANCE: 16 hours per week for 12 months, starting from end July 2023 to end June 2024, with a view to extending (pending yearly public funding award). The first two months are considered a probationary period.
Hourly Rate: £15.00 per hour, paid in quarterly instalments of £3120.00 each.
The role has flexibility to be performed either in Array Studios premises on King Street, Belfast or remotely.
RESPONSIBLE TO: Array Studios Members and Array Studios Board
SUMMARY OF ROLE: Assist in the smooth delivery of Array Studios & Collective administrative & funding tasks, as well as assisting operational tasks related to Array output for 23-24.
ESSENTIAL EXPERIENCE: Proven 2 years admin & funding experience, preferably in an artistic context.

WHAT IS EXPECTED:
Finance
- Manage accounts and prepare monthly account reconciliations including processing of receipts/invoices, monthly bills, rent, insurance, liaise with Landlord & accountant
- Projected budgets, with approval of members, and record rolling expenditure
- Produce quarterly, annual and funding specific financial reports
- Apply to funding opportunities
- Assist Array with logistics for events and programming
- Monitor Array Studios email inboxes (Admin)
- Assist in maintaining diary for Array
- Assist in collating development opportunities and write grants application
- Assist with meeting agendas and minutes
PERSON SPECIFICATION
Essential Criteria
- Minimum 2 years experience in admin & funding roles for charity organisations and/or arts organisations
- Excellent IT skills including database management
- Experience in working with budgets
- Ability to work independently, as well as part of a team, meet deadlines and manage multiple projects efficiently.
- Excellent communication and interpersonal skills
- Excellent organisational and time-management skills, with an eye for detail
Desiderable Criteria
- Knowledge of, and an interest in, the arts
- Experience in completing annual reports and accounts auditing
- Experience in assisting producing exhibitions, events or other artistic projects
- Experience in around artwork handling, transportation and install
